The recruitment of Modern Apprentices is a fair, open and merit based process (16+) and with permanence from the start of the apprenticeship. OSCR is the independent regulator and registrar of all Scottish charities. We are a Non Ministerial Department, which means that although we are employed as Scottish Government employees we answer to a Board of non-executive directors who are independent of government.

OSCR’s vision is that of charities you can trust and which can provide public benefit. Our job is to regulate the 24,600 charities in Scotland, and the law requires us to carry out some core functions to ensure charities are complying the law and doing what they are set up to do.
We’re a relatively small organisation based in Dundee with approximately 45 members of staff.

Main Duties
The key tasks of Engagement Assistants are to:
• answer phone calls and where necessary transfer to the appropriate team or individual;
• open the incoming mail each day - scanning, renaming and allocating a large volume to the appropriate teams;
• handle postage for the office;
• provide help and navigation around OSCR’s website and/or our Online Service, to callers who need assistance;
• answer appropriate email queries and file correctly;
• scan rename and attach accounts to our Online Services database;
• redact (black out) sensitive information from charity accounts, prior to publication on our website;
• assist in the preparation of statistics related to phone calls, mail, redaction and others where required;
• provide general administration support to the Engagement Team Managers, or other OSCR colleagues as and when required.

All of the above duties will be carried out using OSCR’s internal computer systems such as OSCR Online, Objective, Crystal reporting, and Microsoft Office.

Throughout the first 12 months the candidate will be expected to gain a relevant SVQ qualification in Business Administration. Support will be provided by a qualified assessor who will work with the successful candidate on a monthly basis. Time will be given to work on your qualification, this includes delivering two presentations.

Essential Criteria
Please read each of the essential criteria and think about a time or an example that can help demonstrate your knowledge/skills.
1. Good administration and organisational skills with the ability to prioritise and plan workload.
2.  Good verbal and written communications skills, engaging with a range of people at all levels with an ability to confidently handle a high volume of incoming calls.
3. Knowledge of Microsoft Office based software such as Excel, Word and Outlook with an ability to learn other internal software.
4. Able to work with minimal supervision after being issued instructions with an attention to detail and accuracy.
