The recruitment of Modern Apprentices is a fair, open and merit based process (16+) and with permanence from the start of the apprenticeship. Candidates with a disability who meet the essential criteria below will be invited to the interview.

An opportunity has arisen to join the Culture and Historic Environment Division. The successful candidate will provide support across the Division, working with colleagues across the 3 units, and provide ad hoc support when required for the Deputy Director.

This is a dynamic and fast paced environment best suited to someone with strong organisational and communication skills. Responsibilities will be shared and co-ordinated with an existing A4 Support Officer.

Main Duties
• Creating, co-ordinating and providing support (such as minutes) for meetings including the Divisional Management team.
• Collating and issuing information, maintaining eRDM files and other administrative tasks.
• Provide financial support by raising purchase orders, receipting invoices, ordering travel and keeping accurate records of expenditure and orders placed.
• Process requests for issuing Government indemnities for cultural property on loan to Scotland’s national cultural organisations.
• Once physical office-working resumes, supporting the booking of meeting rooms and practical preparations (equipment etc) for meetings; as well as Fire Marshal duties.

Throughout the first 12 months the candidate will be expected to gain a relevant SVQ qualification in Business Administration. Support will be provided by a qualified assessor who will work with the successful candidate on a monthly basis. Time will be given to work on your qualification, this includes delivering 2 presentations.

Essential Criteria
Please read each of the essential criteria and think about a time or an example that can help demonstrate your knowledge/skills.
1. Good administration skills, including confidence with minute taking and organisational skills with the ability to prioritise and plan workload and work to strict deadlines.
2. Experience, or ability to develop experience, of financial management systems.
3. Verbal and written communication skills including the ability to engage with a range of people, internally and externally.
4. Proven track record of working effectively as part of a team and working flexibly across teams where required.

Important Information Regarding Interviews
In recognition of the Scottish Government's ongoing measures and guidance in its response to Covid-19 (Coronavirus), we would like to advise applicants that a decision has been taken that all interviews must be conducted in a virtual/remote setting.

This will allow candidates to undertake the interview/assessment if selected. We are also asking you to ensure that your personal Wi-Fi/Broadband capacity will be sufficient to carry both audio and video feeds. This will then ensure that there are no issues incurred during the interview.
