We are currently seeking applications for a Personal Assistant within the Business Support Unit based in Edinburgh. This is a permanent and pensionable appointment and new entrants will normally start on the minimum of the pay range. Candidates with a disability who meet the essential criteria below will be invited to the assessments.

The role holder will manage the ‘Director of Transformation’s’ calendar and email inbox. The ‘Transformation Directorate is a team of change, programme, project, and architecture professionals. Together they lead and drive major transformation (business improvement) programmes of work. Each programme is sponsored by different stakeholders, who wish to achieve significant improvement goals within their part of government. Projects and Programme are temporary endeavours, each lasting months, or years as they work toward key goals. The team will run many governance meetings, workshops, communication events and session with external suppliers. Whilst this role is to support the Director in the main, wider team support is likely as so much of the team are linked into common goals. Excellent email triage and calendar management to give priority to the most important items will be key to success.

Experience of supporting leaders working within a ‘Change and Transformation’ context (in order that the candidate will have developed familiarity with the kinds of governance frameworks, meetings structures and stakeholder relationships that gives rise scheduling challenges and priority call) is highly desirable.

Qualifications Required
For jobs in Band B & C you must hold a minimum of 3 Highers or equivalent.

Essential Criteria
1. Well-developed communication skills with the ability to deal with staff at all levels in the organisation and where necessary deal with challenging conversations.
2. Excellent organisation skills including the ability to work creatively to solve problems, manage competing priorities and take important decisions under own initiative.
3. Good analysis and use of evidence skills, including the ability to produce summary documents and briefing materials, ensuring the Director is appraised of current activities, guidance and priorities.
4. Experience of diary management and monitoring information flow through a busy mailbox.
